Terms & Conditions

These terms apply whenever you engage Sontech Communications ("we", "us", "Sontech") — run by Simon Kenning, sole trader, VAT No. GB 426 7808 71, based in Wincanton, Somerset — to provide IT support, networking, Microsoft 365, AI adoption, or related services ("the Services"). By booking or accepting a quote from us, you ("the Client") agree to these terms.

1. Our services

Sontech Communications provides:

  • Remote and on-site IT support;
  • Microsoft 365 setup and administration;
  • Bespoke network and server configuration, including secure remote-access solutions such as VPNs and site-to-site or client-to-site connections;
  • AI platform adoption support;
  • Web hosting setup, and simple website builds using AI tools. We are not a design agency — for design-led projects, we'll be upfront about that and happily point you towards one.

2. Quotes and pricing

Prices shown on our website are indicative and exclude VAT unless stated otherwise. A specific quote will confirm the actual price for your job, based on the scope discussed. Quotes are valid for 30 days from the date given, unless otherwise agreed.

3. Mileage

Where a job requires an on-site visit, travel is charged in addition to time on site at 45p + VAT per mile, calculated from our office in Wincanton, Somerset, to your location and back. This will be factored into your quote where applicable, and itemised on your invoice.

4. Payment terms

Unless otherwise agreed in writing, invoices are due within 14 days of the invoice date. For business clients, we reserve the right to charge statutory interest on overdue invoices under the Late Payment of Commercial Debts (Interest) Act 1998.

5. Cancellations

We ask for at least 24 hours' notice to cancel or rearrange a booked appointment. Cancellations with less notice may be subject to a cancellation charge to cover time reserved for the visit.

6. Your responsibilities

To help us do a good job, please ensure that:

  • Any information, access, and account details you provide are accurate and that you're authorised to give us access to the relevant systems;
  • You maintain your own backups of important data wherever practical — we'll advise on backups as part of our work, but responsibility for backing up your own data ultimately sits with you;
  • You have the necessary licences or rights to any software, data, or content we're asked to work with.

7. Liability

We carry out all work with reasonable skill and care. However:

  • We are not liable for pre-existing faults, hardware failures, or data loss not caused by our negligence;
  • We are not liable for indirect or consequential loss, such as loss of business, profits, or opportunity;
  • Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded or limited under English law.

8. Intellectual property and trademarks

The Sontech Communications name, logo, and associated marks are the property of Simon Kenning, trading as Sontech Communications, and may not be copied, reproduced, or used without prior written permission. The content, design, and layout of this website (excluding any content clearly credited to a third party) belong to, or are licensed to, Sontech Communications and may not be reproduced without permission.

You retain ownership of your own data, content, and any pre-existing intellectual property you provide to us as part of an engagement. We do not claim ownership over your business's information, systems, or content simply by virtue of providing support for them.

9. Confidentiality

Both parties agree to keep confidential any non-public information disclosed during the course of an engagement, and to use it only for the purpose of delivering or receiving the Services.

10. Third-party services and links

Our work may involve configuring or integrating third-party platforms (for example, Microsoft 365, AI tools, or hosting providers). We are not responsible for the ongoing performance, pricing, or policies of third-party services once configured — these remain governed by that provider's own terms.

11. Governing law

These terms are governed by the law of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Changes to these terms

We may update these terms from time to time. The version in force at the time you book or accept a quote will apply to that engagement.
